Job Description
We are looking for an enthusiastic and experienced Office Manager who can support our San Francisco HQ office location. As the face of our office, your priority will be to ensure that all employees have what they need to be successful, comfortable, and excited to come to work every day.

What you'll be doing
  • Represent Nium by greeting incoming candidates, vendors, and guests as well as answering and handling incoming phone calls.
  • Be a champion of employee experience and drive our unique company culture.
  • Support Real Estate and Facilities Lead as needed during upcoming office move (2024) and capital projects.
  • Oversee visitor management system and NDA filing in compliance with Nium policies and procedures.
  • Execute Emergency Action Plan (EAP) and communicate with first responders in crisis situations.
  • Manage daily COVID restrictions and communicate to Supervisor/local team changes or policies outlined by the organization.
  • Manage and coordinate our relationship with outside vendors for equipment, supplies, furniture, facilities, and IT services.
  • Serve as primary liaison between Nium and office building management (e.g., maintenance, repairs, communications, tenant responsibilities, etc.)
  • Manage the setup and coordination of communications for office events and trainings.
  • Assist employees with various office management issues/requests (e.g., supplies, conference rooms, kitchen supplies and snacks, equipment, etc.)
  • Manage the purchasing of office related items and follow up on procurement and payment items.
  • Coordinate daily incoming and outgoing mail and deliveries.
  • Help the HR Team with our employee onboarding program by ensuring our new employees are set up with the equipment they need and a warm welcome.
  • Manage other facilities support staff as needed.
  • Manage office inventory, potential security related issues and provide general office management and administrative organizational support.
  • Conduct office tours for new hires and visitors.


Requirements
  • 5+ years of experience in an office management, administrative role, or equivalent experience.
  • Strong communication skills in English.
  • Outstanding organizational skills, detail oriented and a demonstrated ability to follow through on projects.
  • Superior multi-tasking and time-management skills
  • Proficient IT skills (MS Office etc.)
