We are looking to hire a General Affairs & Facilities Management Executive to join the Rakuten Asia HR team. The ideal candidate is responsible for ensuring the efficient operation of the company’s facilities and supporting general administrative functions. This role oversees the office workspace, manages maintenance and repairs, coordinates office supplies and inventory as well as expense administration.

*This is a 6-month contract position that is subject to conversion

Responsibilities:

  • Manage the day-to-day operations of the company’s facilities and office workspace.
  • Coordinate office maintenance, space planning, waste recycling, repairs and/or renovations in compliance with health, safety and environmental regulations within the workspace.
  • Manage building access control system and office security protocols.
  • Manage and maintain office supplies, mail deliveries, equipment, and inventory.
  • Monitor and ensure the proper use and care of company assets by employees
  • Manage relationships with internal and external vendors and/or service providers.
  • Track company expenses, process invoices and identify opportunities for cost savings and efficiency improvements for employee welfare, such as lunch options and the cafeteria.
  • Process employees’ reimbursements in relation to expense management.
  • Monitor vendor performance and address any issues or concerns.
  • Support employees’ onboarding and exit processes as needed.
  • Assist with corporate events for setup, catering and logistics.
  • Assist with general affairs functions and other ad-hoc tasks as required.

Requirements:

  • Able to build effective relationships with internal and external stakeholders.
  • Hands-on and able to multitask in a fast-paced environment to meet tight deadlines.
  • A team player with strong sense of responsibility and accountability to get things done.
  • Possesses good organizational and project management skills.
  • A meticulous, adaptable and resourceful individual who can balance between people and processes.
  • Cheerful, pleasant personality with strong interpersonal, verbal and written communication skills.
  • Comfortable working with Generative AI tools to support productivity drive.
  • Comfortable working in a multinational, multicultural work environment.
  • 1 -2 years of experience in general affairs, facilities management, or office administration is a plus.
